Email expands to fill all available time. Left unmanaged, it becomes a to-do list written by other people. 'Inbox zero' isn't about obsessively emptying your inbox — it's about having a system so nothing is lost and nothing lives in your head.
The core rule: touch each email once
Every time you open an email and close it without acting, you've spent attention for nothing. Instead, make one decision per message using four options.
The four D's
- Delete/Archive: no action needed — get it out of sight
- Do: if it takes under two minutes, handle it now
- Delegate: someone else should own it — forward and track
- Defer: it needs real work — schedule it or add it to a task list
Batch, don't graze
Checking email constantly destroys focus. Process it in two or three dedicated blocks a day. Outside those blocks, the inbox stays closed — the world will survive.
Use folders and filters
Automatic rules can route newsletters, receipts, and notifications out of your primary inbox before you ever see them. What's left is the mail that actually needs a human.
The takeaway
You don't need a perfectly empty inbox. You need a reliable process so email stops being a source of anxiety and starts being just another task that's handled — by you in focused blocks, or by someone on your behalf.
